The Cancer Center at St. Charles Health System is a comprehensive
cancer center that provides holistic care to our patients. The
cancer center provides chemotherapy, medical oncology, infusion
services, radiation therapy, integrative medicine, nutrition,
social work, survivorship and other supportive care treatments.
All of our staff support our patients in the various stages of
The Cancer Center Registration/Scduling Coordinator provides
support for caregivers performing registration and scheduling
duties for St. Charles Heatlh System Cancer Center. Monitor and
analyze performance measures and quality indicators. Will be able
to provide training to new caregivers, conduct competency reviews
of existing caregivers at varying intervals throughtout the year,
and train current caregivers to new policies, procedures and/or
system upgrades. Develop and update training manuals and curricula.
Performs schedule maintenance. Demonstrate competency in all areas
of registration and scheduling including, infusion room, radiation
therapy , medical oncology, new patient referrals, verifying
patient information, cashiering. Must maintain excellent customer
service relations with patients, hospital staff, office staff and

ESSENTIAL FUNCTIONS AND DUTIES:
Fosters a collaborative wokring environment by seeking input and
feedback from caregivers when change occurs or is imminent.
Anticipates need for change through direct observation and
maintains open communication with other departments/facilities.
Actively manges equipment, resources, time and materials.
Responsible for training new and existing caregivers to all
technology applications, upgrades, policy changes. Will develop
training materials and help maintain policy manuals.
Responsible for staff schedule for registration/scheduling
Responsible for schedule template build in scheduling
Ability to work in any area of Cancer Center
Review weekly, monthly reports related to registration/scheduling
processes. Identify trends with manager/caregiver to ensure
performance/productivity. May recommend corrective action when
caregiver fails to improve quality after training/coaching. Assist
caregivers and other team members in reaching departmental
Coordinates patient reminder calls staff or systems.
Performs Patient Access Admitting Representative duties for Cancer
Collects Copays/Deductibles from patients as indicated by insurance
companies, Pre-Registration staff and Financial counsellors.
Processes payment accurately, and completes daily deposits.
Scheduling multiple appointment types including: New patients
return visits, infusions including chemotherapy/infusion room
appointments, radiation therapy, other procedures, MD referrals,
imaging studies, etc. Coordinates patient care with outside
facilities including OHSU and Hospice Facilities. Responsible for
communicating instructions or other information pertinent to
scheduled procedures. Responsible for retrieving and forwarding
orders and patient records as required related to patient
appointments. Utilizes appropriate scheduling systems.
Demonstrates excellent customer service skills. Demonstrates
ability to multi-task and complete work in a timely manner.
Understands medical terminology and procedures.
Identifies process improvement opportunities. Assists with
documenting policy and procedures.
Serves as back up to other administrative staff in the clinic. May
also be required to cover responsibilities in sattelite
Assists with special projects as needed.

Required: High school diploma or GED.
Required: Valid Oregon driver's license and ability to meet St.
Charles Health System driving requirements.
Required: Three years working in a physician's office, medical
clinic, or hospital setting. Experience in customer service and
dealing with physician office staff/general public.
Preferred: Experience in coordination or supervision of
registration and scheduling staff. Oncology/ medical office

Must be able to wear appropriate Personal Protective Equipment
(PPE) required to perform the job safely.
