Clinic Name: Rebound Physical TherapyPosition: Medical ReceptionistLocation: Bend, OregonExperience: 1+ YearsEmployment Type:Full-time with BenefitsHiring: ImmediatelyJob SummaryWorks in collaboration with Front Office Lead and staff to implement best practices for front office processes including planning; staff communications; customer service; systems, training, and scheduling. Provides administrative support for clinic manager and clinicians in the day-to-day operations of the clinic. Sets the standard for delivering excellent responsive customer service for our patients. Serves as a liaison to clinic and administrative team.Duties and Responsibilities + Warmly greets and welcomes patients to Rebound.+ Implements and coordinates best practices for front office processes and procedures.+ Performs a variety of administrative duties which requires the exercise of independent judgment, the application of technical skills, and detailed knowledge of the activities and procedures specific to the clinic. + Competent with computer systems email, MS-Word, MS-Excel, and Therapy Source and Rehab Toolkit.+ With clinician input, develops efficient methods for patient scheduling. Uses Therapy Source to schedule appointments by using the "cluster" method and clinic-specific scheduling guidelines.+ Uses Rehab Toolkit for accurate data entry and reference to account comments for handling.+ Prepares patient charts and verifies that patient has correctly provided all information and the patient has signed all the necessary registration forms.+ Communicates frequently with the Lead to ensure proper implementation of processes and procedures.+ Ensures that patient records/files are accurate and complete, and that patient confidentiality is strictly maintained.+ Ensures adequate front office vacation / sick leave coverage.+ Maintains the aesthetics and functionality of the clinic in relation to cleanliness and ambiance to include window washing, touch-up paint, carpet cleaning, garbage disposal, lighting, cable, and phone systems, etc. In the absence of a Front Office Lead, may arrange or assign routine and preventative maintenance. May communication with the landlord.+ In the absence of a Front Office Manager or Lead, coordinates the efficient operation (maintenance) and training on all office equipment to include telephone system, computers, phones, printers, copiers, fax machines, etc.+ In the absence of a Front Office Manager or Lead, coordinates Rebound communications. Posts all company communications, employee relations information, company newsletter, etc. in the break room. Shares information about new processes, updates, changes to policy or practice. Solicits input from staff and communicates to the administrative team. + Participates in front office training and constantly looks for ways to improve the patient experience or streamline workflow to foster efficiencies in how we work.+ Does what need to be done to uphold the professional, fun image of Rebound.+ Communicates clinic needs to the Lead.+ Performs other duties of a similar nature as requested by management. Personal AttributesFriendly, customer-service oriented, creative, assertive, self-starter who is detail-oriented and can see projects through completion. Effective communication skills, oral and written. Must have a high tolerance for ambiguity and be able to see the big picture. A positive engaged personality type that enjoys contributing to a dynamic and fun team. Education and Experience+ High school diploma- plus. The equivalent of 1-5 years of medical office experience is preferred.+ Demonstrated competency with computer systems email, MS-Word, MS-Excel, scheduling, and patient demographics software. Work Environment & Physical Requirements Busy Orthopedic clinic. Must possess mobility to work in a standard office setting and to use standard office equipment, including a computer, strength to lift and carry materials weighing up to 10 pounds; vision to read printed materials and a computer screen; and hearing and speech to communicate in-person and over the telephone.Work HoursRebound clinics are open from 7 am - 7 pm. It is expected that Full-time FO staff work a minimum of 36 hours per week on a consistent basis. The days and hours may varywith each facility and depending on the needs of the clinics. NoteAll duties and requirements stated are essential job functions.
