Act as a resource for program both in person and over the phone. Conducts office operations and relays tasks and proposed schedules.Terms of Employment: This is a part-time (.60 FTE, 24hr week) 11-month non-exempt position at grade level 11 in the Classified Appendix schedule. Off contract time is spread throughout the year. Specifics will be discussed upon hire. Requires flexible work schedule, which may include evenings and/or weekends as well as travel throughout the district when needed. Upon hire, must pass criminal and/or driving history; only information relevant to the position will be considered.Essential Functions:General Functions

  • Acts as primary contact providing highly responsible office and administrative services for assigned area. Coordinates a variety of office activities, special projects and functions. Schedules meetings and appointments. Creates documents and spreadsheets, drafts correspondence. Establishes and tracks data for projects, activities, and required submissions.
  • Monitor student application process and work with the assigned department and program. Coordinate and maintain student records
  • Assist the department chair and program faculty, as requested, in compiling data and completing forms to support departmental assessment projects, course/program change proposals, and other curricular initiatives.
  • Assist Program Coordinators with yearly Program Advisory Committee meetings including coordination, communication, meeting details and preparation of minutes.
  • Provide support to annual department special events and activities
  • Proofread and edit communications and correspondence, including department and other appropriate websites and contracts.
  • Create, prepare, organize and receive highly sensitive and confidential material in a responsible, safe and appropriate manner.
  • Serve on college committees when/where appropriate.
  • Perform other essential duties as assigned and pertains to the overall objective of the position.Business Processes
  • Assist in monitoring and maintaining security, equipment, furniture, and supplies of classrooms, offices, and workrooms for assigned to buildings, including tracking and anticipating needs and preparing requests for capital, technology, furniture, and supplies. Maintain office and department materials and supplies inventory.
  • Responsible for intake of FLAC (Faculty Load and Compensation) documentation. Serve as backup for revisions and corrections.Knowledge, Skills and Abilities:Individuals must possess these knowledge, skills and abilities or be able to explain and demonstrate that the individual can perform the essential functions of the job, with or without reasonable accommodation, using another combination of skills and abilities. The incumbent is expected to follow College work rules and policies.
  • Ability to track, coordinate, and complete multiple tasks to support the effectiveness of a large and complex academic department.
  • Ability to initiate and perform work without supervision, anticipating the needs of Department as a whole, as well as of individual instructional staff.
  • Ability to use effectively Microsoft platform desktop computer and various software (e.g., Microsoft Office, Outlook, Banner, Resource 25) and to operate all standard office equipment.
  • Ability to exercise effective interpersonal communication skills to work productively with multiple constituencies.
  • Apply knowledge of faculty preferences, existing resources, enrollment patterns and other significant factors in schedule development.
  • Maximize limited resources in administering and monitoring expenditures, prioritizing needs, and recommending cost-saving measures.
  • Prepare for simultaneous deadlines by prioritizing tasks based on urgency, managing time wisely, requesting aid and making referrals as needed.
  • Ability to manage office needs as faculty change, and initiate capital, technology, and furniture requests as needed.
  • Ability to communicate clearly, in writing and speaking, face-to-face, via telephone, and e-mail, using the English language with or without the use of an interpreter.
  • Ability to work cooperatively with and contribute to a diverse workplace through ideas or experience.
  • Skill in anticipating and providing administrative support services in a broad range of areas within in an assigned area.
  • Skill in problem-solving, multi-tasking, and time management.
  • Ability to work independently demonstrating sound business judgment related to assigned area.
  • Ability to perform responsible clerical and administrative duties.
  • Ability to be a liaison on integration of internal and external agencies and resources.
  • Must be able to perform essential job functions described above.Physical Demands and Other Ergonomic Requirements:General hours are Monday- Friday between the hours of 8:00 am to 5:00 pm. Work is performed in an office environment, mostly sitting. Computer screen is used more than 50 percent of the time. The employee is regularly required use hands and fingers, handle or feel objects, tools or controls, reach with hands and arms and requires near visual acuity to write, read written materials and computer screens, and sufficient hearing and speech ability for ordinary telephonic conversations. Physical movements involve guiding, feeding materials into proper position.   • High School Diploma or GED equivalent.
